Wisconsin is home to a lot of multi-site businesses with headquarters in Milwaukee, Madison, Appleton, or Green Bay and locations across the country — franchise restaurant groups, dental support organizations, manufacturing companies with regional distribution, retail chains, and service brands.
When the IT director at HQ needs to deploy something — a network refresh, a camera system, a new POS, an SD-WAN — across 25 or 250 sites, the same dozen things go wrong. Here's the checklist we use to keep deployments boring.
Before the project
1. Lock the standard build. One firewall model. One switch SKU. One AP model. One camera lineup. Variation kills deployment speed. If a site genuinely needs an exception, document it once and add it to the standard as "Build B."
2. Pre-stage everything at one location. Configure, label, and bench-test every piece of hardware at HQ or a single regional warehouse. Sites should receive a box, not a pile of parts.
3. Ship with a site kit. Cable color guide, cable labels, mounting hardware, a printed wiring diagram, and a one-page "what good looks like" reference. Local hands appreciate this more than any video.
During the rollout
4. Don't trust the site survey alone. Photos lie. Walk the first 3–5 sites in person or send a tech. You'll find ceilings, conduit, and electrical you can't see in pictures. Update the standard before sending kits to sites 4 through 250.
5. Schedule electrical and low-voltage separately from the cutover. Local electricians take 4–8 weeks in most Wisconsin and Upper Midwest markets right now. Get them on site weeks before the network team arrives, not the same day.
6. Pre-stage the WAN. Coordinate ISP installs 6–10 weeks ahead of the cutover. Spectrum, Frontier, AT&T, and Lumen install dates in 2026 are still 4–8 weeks out in most markets. Have a cellular failover (Verkada GC11 or a Cradlepoint) ready as a backup.
7. Use one ticketing channel. Site managers will text, email, call, and Teams-message every channel they have. Pick one. We use a shared Teams channel per project and route everything through it.
At each site
8. The 90-minute install rule. If a tech can't complete the install in 90 minutes, the kit is wrong or the site wasn't ready. Track this and fix the upstream problem — don't accept "this one took 6 hours" as normal.
9. Test from the user's seat. Not from the IDF. Not from the tech's laptop on the bench. From the actual register, the actual phone, the actual workstation. This catches VLAN, DHCP, and firewall rule mistakes that look fine on the wire.
10. Photograph the finished work. Patch panel, switch, AP placement, camera angles. These photos become the as-built record and are gold when you're troubleshooting from 800 miles away two years later.
After the cutover
11. 7-day, 30-day, 90-day check-ins. Most issues surface on day 4–9 when real volume hits the new gear. Schedule a 15-minute call at each interval with the site manager. They will tell you what's broken before any monitoring system does.
12. Update the standard and re-publish. Every deployment teaches you something. Write it down. Push the updated standard build to the next wave of sites.
